Flight Delayed? Here Is What Happens to Your Airport Transfer

Everyone who books an airport transfer has the same question in the back of their mind: what if my flight is late? Will the driver leave? Will I have to book again? This article explains how flight tracking works at TristGo, how your pickup time is updated when a flight is delayed, and what you need to take care of on your side. No grand promises, just a clear picture of how the system actually works.

It all starts with your flight number

When you book a pickup from the airport, the booking form has a flight number field. It is optional, but flight tracking needs it. A flight number is the airline's two- or three-letter code followed by digits, for example TK1984. You will find it on your ticket or in your airline's app.

A few things to get right:

  • Enter the flight that lands in Istanbul. If you are connecting, we need the number of your final flight into Istanbul Airport or Sabiha Gökçen, not your first leg.
  • Check the format. The form warns you if a number does not look like a normal flight number. A wrong number cannot be tracked; it is still saved on your booking as a note, but it is not tracked automatically.
  • If you leave it blank, your pickup is planned around the time you selected, and if anything changes, we only find out if you tell us.

How flight tracking works

Once you add your flight number, your flight is checked at regular intervals through a flight-data provider. Checks start as the travel day approaches and become more frequent in the last few hours before your pickup. That way we see not only the scheduled landing time but also the estimated landing time the airline updates.

When your flight is found to be significantly delayed, the information goes to our operations team. They update the pickup plan to the new estimated landing time and let your driver know. If the delay grows later on, the same cycle repeats.

In other words, you do not need to report your flight status to us. If the number is right, the delay is picked up by the system and the plan is adjusted.

What your driver plans around

For an airport pickup, the driver's plan is based on when your plane lands, not when it took off. When there is a delay, what matters is the new estimated landing time.

After landing, it also takes you a while to get out: leaving the aircraft, passport control on international flights, baggage claim. That varies a lot with the flight, the hour and the queues. Because the plan is built around your landing time, your driver is already at the airport while you go through those steps.

An example: a 90-minute delay

Here is a concrete scenario. It is only an example; the times are illustrative.

  1. When booking, you entered the number of your flight due to land at Sabiha Gökçen at 14:00.
  2. On the day, your flight is delayed before take-off and the airline moves the estimated landing to 15:30.
  3. When your flight status is checked, the delay shows up and the information goes to our operations team.
  4. The team updates the pickup plan to the new estimated landing time and lets your driver know.
  5. Your plane lands around 15:30. While you go through passport control and baggage claim, your driver is at the airport according to the new plan.

You do not need to do anything extra here. But if the delay leads to a cancellation or a rebooking onto another flight, let us know, as in the situations listed below.

Which time should you enter when booking?

The time on the booking form is the time you want to be met. If you have also entered your flight number, that plan is updated to your landing time when there is a delay. When choosing the time, think about how long you will spend inside after landing: passport control and baggage on international flights can take longer than on domestic ones. If you are unsure, go by your flight's scheduled landing time and be sure to add your flight number.

When you should let us know

Flight tracking sees delays, but not every situation. In these cases a quick WhatsApp message or call keeps the plan right:

  • Your flight was cancelled or you were rebooked. The new flight will have a different number, so tracking has to switch to it.
  • Your flight was diverted to the other airport. If you landed at Istanbul Airport instead of Sabiha Gökçen, for example, the pickup point changes.
  • You landed earlier than expected. It is not common, but it happens, and a message helps avoid any waiting on your side.
  • Your bag is lost or delayed. Lost-baggage paperwork can take a while; just message us from inside.
  • You did not enter a flight number when booking, or entered the wrong one.

Pick the right airport

Istanbul has two major airports, and choosing the wrong one is one of the most common booking mistakes. Your ticket shows the arrival airport code: IST for Istanbul Airport, SAW for Sabiha Gökçen. Check that code, especially if your ticket only says "Istanbul" or there is any chance of confusing it with the old Atatürk Airport, which no longer handles passenger flights. Even if flight tracking follows the right flight, a pickup planned at the wrong airport only gets fixed if you spot it.

It is also a good habit to follow your flight yourself. Keep your airline app's notifications on and you will be the first to know about gate, time or arrival-airport changes.

Delays and the rest of your day

What about delays on departure?

Flight tracking covers flights landing in Istanbul. On the way to the airport, if your departing flight is delayed, your transfer time does not change automatically.
